General

  • Why are you developing Viya?

Our current platform, ShipitSmarter, originates from 2000. It has been continuously improved and updated over the years, but we cannot apply all the latest technologies on our current platform. We are rebuilding our platform to get ready for the coming decades. Also, we are tech enthusiasts who like to work with the latest technology.

  • What type of companies use Viya?

Viya is designed for shippers that want to scale their transport operations. Typically, these are mid-sized to large companies that move goods regionally or globally and want to automate planning, execution, tracking, and reporting in one centralized platform.

  • I work for a big Enterprise company, what does the process look like?

We'll schedule an introduction meeting first, where we will determine the best way forward. The logical next step is to then schedule a scoping call, in which one of our Implementation managers will join.

  • Is Viya suitable for small businesses or startups?

Viya is primarily designed for mid-sized to large shippers with complex transport needs. However, if your business is growing and you require advanced automation, visibility, and integration, Viya can scale with your requirements. Contact us to discuss your specific needs.

  • What kind of onboarding and support does Viya provide?

We provide guided onboarding, training, and dedicated support to ensure a smooth transition to Viya. Our team assists with setup, integration, and user training, and ongoing support is available through multiple channels.

  • Is Viya a TMS or something more?

Viya is a next-generation Transport Management Solution designed specifically for shippers. Beyond the traditional scope of a TMS, Viya includes advanced visibility, automation, and reporting tools such as exception handling and tracking quality optimization. It helps businesses not only manage transport but also continuously improve it.

Carrier

  • Can Viya handle carrier communication automatically?

Yes. Viya connects directly to carriers through pre-agreed digital integrations. These connections allow automated exchange of shipment data, load communication (Despatch Advice), tracking updates, and freight settlement information in a standardized, transparent process.

  • I am a carrier, where do I fit in?

At this time, Viya is focused on creating a shipping platform for shippers wanting to scale. We plan to involve carriers actively in the future by allowing them to supply rates and by offering tooling. There is no timeline yet, but if you'd like to stay updated on our progress, send us an e-mail at carrier@shipitsmarter.com.

Product

  • How often is Viya updated with new features?

Viya is built as a modern SaaS platform and is updated regularly. We continuously release new features, improvements, and security updates based on customer feedback and industry trends. Major updates are communicated in advance to all users.

  • Can I customize workflows or dashboards in Viya?

Yes. Viya offers configurable workflows and dashboards to match your operational processes. You can tailor views, notifications, and reporting to fit your business requirements, ensuring maximum efficiency and relevance.

  • How does printing work in Viya?

Our printing engine, powered by PrintNode, automatically routes transport labels and documents to the correct printer in your network based on your configuration. You can also forward files to your host systems for printing or print manually as a backup option.

  • What kind of tracking visibility can I expect?

Viya offers complete shipment visibility from order creation to delivery confirmation. You can monitor milestones, exceptions, and proof of delivery in one view. Our tracking quality optimization tools also help identify and improve weak data inflows to ensure reliable visibility.

  • How does Viya help me handle exceptions?

Our platform automatically highlights exceptions reported by carriers, such as delays or failed deliveries. These are displayed in operational dashboards so that your teams can focus on the shipments that require attention and proactively take action to minimize impact.

  • Can I access historical shipment documents such as Proof of Delivery?

Yes. Proofs of delivery, including signatures or delivery photos, are securely stored in our dedicated POD Vault. This ensures compliance with legal retention requirements and supports audit trails whenever documentation is needed.

Reporting & Improvement

  • Can I generate sustainability or emissions reports?

Not yet. We are working closely with our customers to make sure we have a solution in place once regulations demand them.

  • Can Viya help me improve transport performance over time?

Absolutely. Viya includes reporting, operational dashboards, and tracking quality optimization tools that help you measure performance, identify process gaps, and continuously improve efficiency and data accuracy.

Integrations

  • How does Viya integrate with my existing systems?

Viya is designed to fit seamlessly into your existing IT landscape. We support integrations through modern APIs and webhooks, allowing your host systems to automatically stay up to date with the latest shipment information, events, and documents without manual intervention.

Security & Privacy

  • What certification do you have?

We are ISO27001 certified and our policies fully comply with that standard. We also choose our technology partners carefully, making sure they hold appropriate certifications and meet high security and reliability standards. This ensures that data in transit and at rest is protected, and that disaster recovery procedures are in place.

  • What do you do with my data?

Your data is your data. It is stored at a trusted source in an isolated environment (https://www.mongodb.com). We only access your data if you explicitly grant permission. To guarantee operational continuity, we collect telemetry data indicating which processes are running and how they perform. This helps us optimize the continuity of the platform and make improvements. We also reserve the right to use metadata, which is always anonymous and not traceable to its source, to identify performance patterns and trends in the industry. This is not yet in use but may be applied in the future to help improve shipping performance across the market.

  • How do you apply to GDPR?

Our GDPR policy can be found in our GDPR compliance statement. In short, we do not store personal data other than shipping addresses. As these addresses are part of an official agreement (the shipping order or booking), they are removed when the shipping order is deleted. There is one special case: authentication of system users. These users are part of the authentication system hosted by a specialized party. It is the responsibility of the tenant (you) to remove system users from the authentication system when requested by that user, for example when someone leaves the company.

  • How is authentication handled in Viya?

We use Ory (www.ory.sh) for secure user authentication and access control. This provides Single Sign-On (SSO), advanced user management, and full ISO27001 compliance. Administrators can manage users and permissions directly, ensuring both usability and strong security.

TMS & Transport

  • What is a Transport Management System (TMS)?

A Transport Management System (TMS) is a software platform that helps businesses plan, execute, and optimize the physical movement of goods. It ensures that shipments comply with regulations, that all required documentation is available, and that goods are delivered on time and within budget. A TMS supports key processes such as order management, carrier selection, consolidation, invoicing, and performance reporting. It helps companies reduce costs, improve efficiency, and gain full visibility across their logistics network.

  • Are there different types of TMS solutions?

Yes. The two primary categories are Shipper TMS and Forwarder TMS. A Shipper TMS is designed for companies that own or manage their freight. It focuses on optimizing logistics processes, improving efficiency, and reducing transport costs. A Forwarder TMS is built for freight forwarders and logistics service providers who coordinate shipments for multiple shippers and carriers. It supports functions like shipment consolidation, customs compliance, document management, and communication between all parties involved.

  • What is the difference between a TMS and a routing solution?

A Transport Management System (TMS) manages the entire transport process, from planning and execution to tracking and reporting. A routing solution or route planning tool focuses specifically on optimizing the most efficient routes for deliveries. Routing is one component within the broader scope of a TMS. The TMS ensures complete transport management, while a routing solution supports the tactical step of determining optimal routes.

  • What is the difference between a TMS and a Fleet Management System (FMS)?

A TMS manages the movement of goods, focusing on transport planning, carrier selection, freight cost control, and performance analysis. It typically coordinates multiple carriers, modes, and logistics processes. An FMS, or Fleet Management System, focuses on managing a company’s own vehicles, including tracking their location, maintenance, fuel usage, and driver compliance. In short, a TMS manages shipments, while an FMS manages vehicles.

  • How much does a TMS cost?

TMS pricing can vary widely depending on shipment volumes, functionality, and integration needs. The most common models are: • License-based pricing: a one-time license fee plus costs for setup, customization, and maintenance. • Subscription-based pricing: a recurring fee based on users, features, or transaction volume. • Transaction-based pricing: the most common for shippers, where costs scale with the number of shipments processed. Subscription and transaction-based models offer flexibility and scalability, ensuring you only pay for what you use. Implementation, integration, and support costs may vary depending on your requirements.

  • What modes of transport can a TMS handle?

A modern TMS supports all transport modes including road, air, sea, parcel, and intermodal. It provides a unified view across all modes, allowing you to manage multimodal shipments, consolidate loads, and compare carrier performance across your logistics network.
